7.5 Updating an Outdated Version

The other thing that can happen as a result of Aras version handling is that the version you have on your local disk can become outdated. Consider the following scenario:

  • Beth Williams creates a New Aras Document in Word, and after editing the file and then using Save and Close, the Aras Document is at version 1 and unlocked.
  • Terry Adams uses Open from Aras in View mode, to be able to read this document. He does not lock or edit the file, but it stays in his local working directory.
  • Beth then uses Open from Aras in Edit mode, makes some editing changes, and saves back into Aras using Save and Close. Now the Aras Document is at version 2 and unlocked.
  • Terry opens the file locally, and the Aras ribbon will indicated that the file is out-of-date:
Aras Office Integration 1.0
  • Terry uses the Get Latest command, and he is prompted that he will lose any local changes if he continues. He clicks OK, and the latest version of the file is brought from Aras, replacing the file in session. The Aras ribbon is updated:
Aras Office Integration 1.0

So the Get Latest command can be used to refresh the local file with the most recent version from Aras.

The following chart summarizes all the behavior of Versions and Get Latest, depending on the current status:

Icon Versions Get Latest
Aras Office Integration 1.0 - Latest Allows opening any other version, which is opened in a separate window* Not available (Latest is already active)
Aras Office Integration 1.0 - Outdated Allows opening any other version, which is opened in a separate window* Displays a message "Current file needs to be closed to perform this operation. OK to close current file and open latest version from Aras? Any local changes will be lost." If you answer OK, the file currently in session is replaced by the new version from Aras.
Aras Office Integration 1.0 - Old (non-latest) Allows opening any other version, which is opened in a separate window* The latest version is opened in a separate window*

*Except in Excel, in which case the existing file will be closed
