7.2 Creating Document Versions

Aras provides version management for your Office files, based on the normal edit cycles you go through when working on your files. The version number starts at 1 and counts up from there as you make editing changes. The version number is displayed in the Office ribbon, in the Edit Control section:

In the Aras web client, version is referred to as "Generation" and is displayed in Document forms like this:

The following diagram shows how versions are created based on your edit cycles:

Important things you should understand from this diagram are:

  • One version is created for each complete edit cycle, which consists of Lock, Save, and Unlock
  • Additional saves performed within an edit cycle just overwrite the file stored within the version
  • Since a new version is not yet created when the Lock happens, you can cancel an edit cycle by doing an Unlock before you do any Save
