9.3 Viewable Files and Visual Collaboration

A useful feature of the Office Connector is to automate the creation of viewable files, such as PDF, during the save process. All settings which control viewable file generation are controlled by the administrator, in order to enforce standard processes within the company. There are two settings your administrator should make you aware of:

  • Which viewable file type is created for each Office application. It can be different for each application, but is typically set to PDF for use with Aras Visual Collaboration.
  • Whether the viewable file is created automatically on every Save to Aras, only on Save and Close, or is user-selectable (in which case the Viewable checkbox appears in the ribbon)

When viewable files are created, they are attached to the same Document as the regular Office file and will be both visible in the Files tab in the web client. If the file is PDF, it can be viewed directly in the Aras web client using Visual Collaboration, which provide view, markup and threaded discussion collaboration. Additionally you can click on the file’s hyperlink to view in an external viewer like Adobe Reader.
