1. When I say that you do not have to delete the old version of the file, I mean that you can simply replace the current file with the new version of the file by selecting the replace option using the Manage File selector. Using this approach you will have only one file. You can view earlier versions of the document using the Item Versions window. You can find this view under the Views > Revisions menu option. See the below screenshots.

2. You are correct in saying that there is no connector between Revit and Aras. Although templates are commonly used with a connector you can still manually apply the concept of templates. For example, if you wanted your users to have a starting point for a new Revit file you would follow similar steps to the ones I have outlined below:

a. Create a new Document inside of Aras and mark it as a template

b. Direct users to the specific template you would like them use as a starting point for their Revit files

c. User manually searches inside of Aras Innovator for this particular document marked as a template

d. User manually opens the Revit template file, begins their work and saves with a different name

e. User creates a new document within Aras and attaches the new Revit file

RE: Changes in an attachment

Hello Jillian,

thank you very much for your time!!

I noticed that when I upload a new version of the file in Aras, I have the old version (Sequence =1)and the new version (Sequence=2) this is that you mean "you do not need to delete the old version, uploading the new version will replace it and then unlock the Document container."

I have searched and I didn't find any connector between Revir and Aras, so without a connector I can't see use of a Template? " It won’t have any effect on the above behavior, all is the same, just the “type” of file is different when you are using the Connector or something else that uses the Template concept."

Thank you in advance!

Best regards,

Maria

Here is my feedback to your questions below:

If now I want to make a change in this file I should delete the old one and upload a new one? Is there any way to open the file, to make the change and to save this change in Aras document where the file is?
The method to use is to lock the Document container, download the file, modify the file in whatever authoring tool you are using (I’m assuming Revit). When you are done with the file, return to Aras and Upload the new file, you do not need to delete the old version, uploading the new version will replace it and then unlock the Document container.

Again here I have the same question. How can I make a change in the document or I can’t?
Since the document container is still editable (I assume), you would use the same steps as above – lock, download, modify, upload, unlock. You can only change the file if the state you have the file in allows Update permissions. Without the detail of the simple Lifecycle you have created, I am making an assumption that the Document container allows updates in this state. If not, you won’t be able to lock the Document container and edit the file.

Which is the process again, in order to make changes in the uploaded file?
Normally, the Document container in a Release state does not allow Updates or changes. Instead, a new Revision is required in order to lock the Document container and make changes to the associated file. If your Lifecycle and permissions are set up that way, you would first have to make the new Revision, which puts the Document container back to the first state, Preliminary, and the above process starts over again. If your Lifecycle isn’t set up that way, you may have different behavior.

When I create a document and click in the template box, I don’t understand any different in the whole process. Could you please tell me what happen
The Template indicator is meant to indicate that a file is a Template to be used as the starting point for other documents. The Office Connector that is tightly integrated with the MS Office tools such as Word, Excel, and PowerPoint use this property to indicate which files can be used as Templates or starting points when authoring documents. It won’t have any effect on the above behavior, all is the same, just the “type” of file is different when you are using the Connector or something else that uses the Template concept.

Maybe I didn’t follow the correct process, so I would like to tell me the correct way that I need to follow in order to make changes in an upload file. Should I use an ECO?
Using an ECO will only automate the movement of your Document container through its Lifecycle based on signatures and approvals. The ability to download, edit, and upload won’t be any different since it involves permissions and Lifecycle.

Thanks,

First of all I am referring to a document and not in the document Item Type.

The process that I follow is very simple because I don't use an ECN/ECO or a similar system. I just have created a simple workflow Preliminary state - In Review - Release.

These are my steps: Document tab > Documents > New Document > give the necessary information (name/number/type/authoring tool ..etc) and in the File tab, I upload a revit file. I am in the Preliminary state now.

-1st question: If now I want to make a change in this file I should delete the old one and upload a new one? Is there any way to open the file, to make the change and to save this change in Aras document where the file is?

I click in the Promote Item and promote the document from the preliminary state to In Review state.

-2nd question: Again here I have the same question. How can I make a change in the document or I can't?

I click again in the promote item and promote the document from the In Review state to the Release state. Here I am able to create a new revision.

-Which is the process again, in order to make changes in the uploaded file?

2. When I create a document and click in the template box, I don't understand any different in the whole process. Could you please tell me what happen?

Maybe I didn't follow the correct process, so I would like to tell me the correct way that I need to follow in order to make changes in an upload file. Should I use an ECO?

Thank you in advance!

RE: Changes in an attachment

Hi,

We need to know more information regarding your use case.

1. Are you referring to the document or the cad document item type?

2. Could you provide us with the specific steps you are taking including the button clicks you are making in the item type form? Please feel free to include screenshots.

With this additional information we will be able to give you better advice.

Thank you!

I have create a simple workflow without use one of the complex (at least for me) systems.

I want to test Aras managing Revit files, for now, so I have noticed that there isn't a connector.

My question is: I create a document and upload a file, if in the preliminary state or in Review state I want to make changes in this file, I should upload again manually the new version and delete the old one? Because in Aras (for this type of files) in order to open my model, I download and after I open it.So If I make a change, it isn't saved 'automatically'.

I am new in Aras so I hope this make sense.

Thank you in advance!

I magage the files manually. I have created a simple workflow (Preliminary - In review - Realise ) and I noticed that only in the Realise state I can create new revision of the file and make changes keeping the previous files too.

So I would like to know, what I should do in order to make changes in a file when I am in the Preliminary or In review state in which I cannot create new revisions.

I hope this makes sense!

Thanks,

Maria
