Change Management Workflows

All Change Management Features are implemented using Workflows, which are sets of activities, resources, and data that model a business process.

Workflows are defined by a workflow map, which contains:

Activities
Paths
Assignments
Tasks

Workflows can be customized by an Aras Innovator Administrator according to company-specific processes.

Activity

An activity dictates which assignments and tasks are created from a Workflow Process. Think of an activity as an action someone (or the system) must take to continue the workflow process.

Path

The arrows represent the connections between each activity. Once the workflow is initiated, activities are assigned to the predefined roles. As these activities are completed, the item advances through the life cycle states.

Workflows and Life Cycles

Each CM item has its own LifeCycle map which controls state changes related to workflow activity and permissions for affected items on status changes. The life cycle determines the change logic. The behavior for related items in a configuration can be set on the LifeCycle map.

Change Management Processes trigger part and document life cycle promotions via the ARAS PLM Role. As each activity is processed, the status (lifecycle state) of the affected item changes to reflect the progress.

Permissions

What you see in the Navigation panel and your ability to add, edit or delete an item is defined by your configured permissions and security profile. The permissions granted to various users or groups may change based on the life cycle state of the item. An administrator can change these security permissions if necessary by means of the Configurable User Interface (CUI).

You can view an item’s permissions by opening the More menu (ellipsis) on the item form command bar and selecting Permissions > View.

This opens the Access tab, which lists the permissions assigned to each identity.

Administrators control access to the following specific capabilities by defining permissions on an item:

Permission	Description
Get	Read-only access to search and view items
Update	Edit, claim and change items
Delete	Permanently remove an item from the database
Can Discover	Search for an item and see a list of returned results
Show Permission Warning	Warning message if your access is restricted
Can Change Access	Change permissions on an item

In addition to groups created by an administrator, the system defines three roles for every item:

System Role	Description
Owner	Defined as the Assigned Creator on the Part form
Manager	Defined as the Designated User on the Part form
Creator	User who initially creates the item and saves it to the database. Once assigned, this system role cannot be changed.

Preliminary

A new item is assigned the Preliminary Life Cycle state which grants permissions to the following groups.

In Review

The permissions change automatically when the part is promoted to the In Review state.

Released

A Released part is assigned the following permissions.

Note: The promotion of the part to each Life Cycle state is controlled by the change management process. The Aras PLM group represents the change management workflow process and does not contain any individuals.

Filtering Search Criteria

You can use the Search grid to find items based on specific search criteria. In Simple mode, properties available to search against appear as columns in the search grid. Use the search row to enter criteria for one or more properties as search parameters.

Searches are not case sensitive and use string matching, including dates.
The ellipsis […] displays for fields with item properties, and provide a secondary dialog (lookup). These fields also support autocomplete; once you start typing, available options appear for selection.
You can use wildcards and search operators to define search criteria.

Local Development Environment Setup

For an Aras Innovator contributor to make changes and test them locally, the contributor needs a Local Development Environment (LDE) with tools that supports various operations executed in DevOps CI/CD processes, such as a Source Control Management (SCM) tool, a development database server, automation scripts, etc.

This document outlines the toolchain and steps to follow to properly set up the LDE, essential for making controlled changes in Aras Innovator. It covers the necessary software, tools, and configurations needed to create a productive and efficient development environment. By following the points below, users can ensure that their local development setup meets the prerequisites for seamless software development and testing.

Aras DevOps Training

Aras DevOps provides a cloud-based set of tools, scripts, and processes to manage Aras Innovator customizations for an Aras Innovator implementation project.

Aras DevOps is inherently part of the Aras Enterprise subscription (SaaS) but can also be purchased separately as an Aras DevOps subscription to support customer-hosted Aras Innovator environments.

Aras DevOps also recommends a toolchain for the local development environment, as part of the Standard Development Environment (SDE), to define, manage, customize, and validate locally deployed customizations.

Course Description

This 5-day hands-on training course combines lectures, demonstrations, and exercises to introduce participants to Aras DevOps. You will prepare and configure your own local development environment based on the Aras DevOps Standard Development Environment (SDE) toolchain.

With the SDE tools and processes, you will be able to experiment with and understand Continuous Integration/Continuous Delivery (CI/CD) industry best practices, including using a version control system (Azure Repos implemented in Git), continuous integration, build & deploy pipelines built by Aras (Azure Pipelines), and collaboration and project work planning (Git Branching, Pull Requests and Azure Boards).

You will also learn how to develop and execute test cases using the Aras Visual Studio extensions and the Aras Test Automation Framework (TAF).
